Where the hours go in a CA practice

Most of the month is spent getting data into shape before any professional judgement is needed.

Reading bills, proposing entries and matching GSTR-2B is rule-based work we automate. Judging credit eligibility and unusual receipts stays with your team.

Ask any article assistant what they did this week and the answer is usually the same: chasing clients for purchase bills on WhatsApp, downloading bank statements, typing vouchers into Tally, and matching the purchase register against GSTR-2B line by line so input tax credit is not claimed on an invoice the supplier never filed.

The pattern repeats for every client, every month. Bills arrive as phone photos, forwarded emails and half-filled spreadsheets. Each one is read, coded to a ledger, checked for GSTIN and tax amount, and posted. At quarter end the same team prepares TDS returns, and in audit season they pull ledgers, confirmations and edit logs for the auditor.

This is where accounting automation for CA firms pays off, and it is the core of our GST and accounting automation service. Reading a bill, proposing the entry and matching it to the bank is repetitive and rule-based. Deciding whether the credit is eligible, or how to treat an unusual receipt, is not. We automate the first and leave the second with your team.

A monthly close, automated

This is the sequence we usually build for a practice handling many small clients.

Fig. 01 Overhead: fields read off the page fill rows on the record card
  1. 01 Collect

Clients send bills to one WhatsApp number or email, and each file is tagged to them.

    Read more about Collect

Clients send bills and statements to a dedicated WhatsApp number or email address. Each file is tagged to the client automatically, and missing months trigger a polite reminder. Built with our WhatsApp CRM and n8n integrations.

  2. 02 Read

OCR pulls GSTIN, invoice number, values and tax split, and flags fields it is unsure of.

    Read more about Read

An OCR pipeline extracts supplier name, GSTIN, invoice number, date, taxable value and tax split from each bill. Low-confidence fields are flagged rather than guessed. See OCR and document intelligence.

  3. 03 Propose

Each bill becomes a proposed entry with a suggested ledger, or a Tally import file.

    Read more about Propose

Each bill becomes a proposed expense or purchase entry with a suggested ledger. In Fint these proposals wait in an Inbox; in Tally-based practices we generate an import file instead.

  4. 04 Reconcile

Purchases are matched to GSTR-2B and bank lines to invoices, with the reason for every mismatch.

    Read more about Reconcile

Purchases are matched against the client's GSTR-2B, and bank lines are matched to invoices and deposits. Mismatches go to a list with the reason: missing in 2B, amount differs, GSTIN differs, or no bank line found.

  5. 05 Review and confirm

Staff check proposals and raise client queries. Only confirmed entries reach the books.

Read more about Review and confirm

A staff member reviews proposals and mismatches, raises queries to the client where needed, and confirms. Only confirmed entries reach the books, and every confirmation is logged.

  6. 06 File

GSTR-1 and GSTR-3B summaries and TDS registers are built from confirmed data for filing.

    Read more about File

GSTR-1 and GSTR-3B summaries and TDS registers are produced from the confirmed data for the filing team to check and file on the portal.

Built for how firms actually work

Many clients, one login

Several sets of books sit under one Fint login, one for each client.

Read more about Many clients, one login

Fint holds several sets of books under one login, so a firm can work across clients without separate accounts for each.

Audit trail by design

Fint keeps an audit trail and reviewer queries, so every confirmation can be traced.

Read more about Audit trail by design

Companies keeping books in software must use one that logs every change and cannot have that log switched off, under the Companies (Accounts) Rules from 1 April 2023. Fint keeps an audit trail and lets reviewers raise queries against records, so a reviewer can see who confirmed what; ask your auditor whether your setup meets the Rules.

Tally stays

Reviewed entries go into Tally as an import file instead of being typed again.

Read more about Tally stays

Most practices will keep Tally. We build integrations with Tally so reviewed entries go in as an import file rather than being typed again.

Client data stays confidential

For firms that want no outside AI service, the reading models run on your own machine.

Read more about Client data stays confidential

Client books are covered by professional confidentiality and by the DPDP Act 2023. For firms that want no client data sent to an outside AI service, we run the reading models on your own machine through private AI deployment.

Beyond compliance work

Desk works as a practice CRM: clients, open engagements, pending filings and who owns each. UK practices get the same reading and matching for VAT and Making Tax Digital.

Read more about Beyond compliance work

Firms also ask us for a practice CRM: who the clients are, which engagements are open, which filings are pending this month and which staff member owns each one. That is what Desk does, with clients, tasks, projects and work logs in one login. For UK practices, the same document reading and bank matching applies to VAT and Making Tax Digital work, with UK GDPR in place of the DPDP Act.

Questions

Does the AI post entries into our clients' books on its own?

No. In Fint, the AI agent proposes records and a person confirms them in the Inbox; money is never recorded without that confirmation. In Tally-based setups we produce import files for your team to review and load.

Can it reconcile purchases with GSTR-2B?

Yes. We load the 2B JSON downloaded from the GST portal, match it to the purchase register by GSTIN, invoice number, date and amount, and list every mismatch with the reason so your staff can follow up with the supplier or the client.

We already use Tally. Do we have to move to Fint?

No. Many firms keep Tally as the ledger and use automation only for collection, reading and reconciliation. Fint is there for clients who want a simpler online set of books with GST and TDS summaries built in.

How do you handle the new Income-tax Act, 2025?

Transactions are mapped to the Act and form numbers that apply to their date. Entries dated up to 31 March 2026 stay under the 1961 Act, and later ones use the 2025 Act numbering. We update the mappings when the department issues changes.

Can clients send documents on WhatsApp?

Yes, that is usually the easiest channel for small business clients. Files sent to the firm's WhatsApp Business number are saved, tagged to the client and queued for reading, and the client gets an acknowledgement.
