The work clients do not see

Most agencies do not lose money on campaigns. They lose it on the hours around them.

Monthly reports, one-by-one posting and day-old leads eat agency time. Nightly API pulls, one-place posting and instant lead delivery fix the plumbing.

Read more about The work clients do not see

The first week of every month goes to reports. An account executive logs into Meta Ads Manager, Google Ads, GA4 and LinkedIn for each client, exports numbers, pastes them into a slide template and writes a commentary. Multiply that by twenty clients and a full person is doing nothing but reporting.

The rest of the month has its own leaks. Posts for each client are approved on WhatsApp and then scheduled one account at a time. Leads from Meta lead forms sit in the ad account until someone downloads them and emails a spreadsheet to the client, by which time the lead is a day old. Retainer invoices go out late because nobody has checked which deliverables were completed.

Marketing agency automation fixes the plumbing: data pulled from the ad platforms by API every night, posts fanned out to every client account from one place, leads delivered to the client the moment they arrive, and deliverables tracked against the retainer.

What a client report pulls, and from where

We connect each platform once. After that the report refreshes itself.

Joining ad data to CRM outcomes is what turns a report from cost per lead into cost per customer. That join is the main reason agencies ask us for a warehouse instead of a template.

What we build for agencies

Client reporting dashboards

Ad, analytics and CRM data loaded nightly into BigQuery, with one Looker Studio view per client.

Read more about Client reporting dashboards

Ad, analytics and CRM data loaded into BigQuery every night and shown in Looker Studio, with one view per client. We have built this kind of cross-channel dashboard before, for a client we cannot name. See marketing intelligence dashboards.

Posting across client accounts

One post goes out to every client account from Cybe Social, with drafts kept apart.

Read more about Posting across client accounts

Cybe Social sends one post to every connected account, keeps drafts, scheduled, published and failed posts apart, and suggests captions and hashtags. Brand assets and large video files sit in a shared media library.

Lead handoff to clients

Lead form leads go straight to the client's WhatsApp, email or CRM with the campaign attached.

Leads from Meta and Google lead forms go straight to the client's WhatsApp, email or CRM with the campaign attached, through our WhatsApp CRM or n8n integrations. The agency can see whether each lead was contacted.

Deliverables and retainers

Tasks and work logs in Desk show what was delivered before the retainer invoice goes out.

Projects, tasks, comments and work logs for each client in Desk, so the account manager can see what was delivered against the retainer before the invoice goes out. Invoices and GST in Fint.

Generated video, images, voiceover and music on a monthly retainer from our video generation studio, for agencies that need more variations than their studio can produce. Every asset is reviewed before delivery.

Rules agencies work under

Fig. 01 High angle: each agent unit cabled to the orchestrator
Regulation and practiceIndia and UK
DPDP Act 2023
For leads collected on a client's behalf, the client is usually the data fiduciary and the agency processes data under contract. Keep lead data only as long as the contract needs.
ASCI influencer guidelines
Paid or gifted content must carry a clear disclosure label such as Ad or Collab, visible without clicking.
Dark patterns guidelines 2023
The Central Consumer Protection Authority lists banned practices such as false urgency and hidden charges; landing pages and checkouts must avoid them.
Google consent mode
Sites taking ads traffic from the UK or EEA need consent signals sent to Google for remarketing and conversion features to work.
UK GDPR
Agencies acting as processors need a written processing agreement with each client.
PECR and the CAP Code
UK marketing email and SMS need consent or the soft opt-in; ad claims must be supported by evidence.

Working with us

We build an agency's internal stack, or the AI piece of a client project. Either way, the agency owns the accounts, data and dashboards.

Read more about Working with us

We can work with an agency in two ways. One is to build its internal stack: reporting, posting and lead handoff for its own use. The other is on a client project, where we build the automation or AI piece and the agency keeps the relationship. In both cases the agency owns the accounts, the data and the dashboards.

If you also want help with campaigns themselves, our growth marketing team runs paid and organic work directly.

Questions

Can client reports be fully automatic?

The numbers can. Data refreshes every night, and each client's dashboard is always current. The commentary, what changed and what you recommend, should still come from the account manager. We can draft a first pass with AI from the numbers for them to edit.

Why BigQuery and Looker Studio instead of a reporting SaaS?

Because you own the data and can join it with each client's CRM or Shopify data. Reporting tools that only read ad platforms cannot show cost per customer. Where a client already uses another tool, we can feed it instead.

Can Cybe Social handle many client brands?

Cybe Social organises connected accounts and fans one post out to the accounts you choose. Request a demo and we will show how agencies set it up for several brands.

What access do you need to our ad accounts?

For reporting, read-only access is enough: a reporting role on each Meta ad account, read access to Google Ads and GA4, and a viewer role on LinkedIn campaign accounts. For lead handoff we also need access to the lead forms. Access stays in your business manager, so you can remove it at any time.

How do leads reach the client faster?

Lead form submissions arrive by webhook and are pushed to the client's WhatsApp, email or CRM straight away, with the campaign name. The agency sees a log of every lead delivered and whether it was followed up.
