WhatsApp lead capture and qualification

Every new chat becomes a lead with its source and answers, so reps start informed.

Capture: no chat without a record

A new number creates a lead, a known number joins its record, and every lead keeps the channel it came from.

In WhatsApp CRM, the first message from a new number creates a lead. If the number already belongs to a lead or a customer, the chat is matched to that record instead of creating a duplicate. When Desk is the CRM, its duplicate check compares phone numbers with the +91 and a 0 prefix normalised, so the same person written two ways is still one record.

We also record where the lead came from. A click-to-WhatsApp ad, a website chat button, a QR code on a brochure or a referral each carry a different source, which is what lets you later see which channel brings leads that close.

Qualify: ask what your team asks anyway

We write the questions with your sales team, not from a template.

Where AI helps, and where it stops

A model turns free-text replies into fields and a temperature, but never quotes prices or closes; off-script chats go to a rep.

People rarely answer in neat options. "Looking for 2BHK near OMR, maybe 60 to 70 lakhs, next year" contains a type, a location, a budget and a timeline in one line. A language model step reads free-text replies like this and fills in the fields, so the rep sees structured answers instead of a scroll of chat.

The AI can also give each lead a temperature, from cold to hot, based on the answers. It does not make promises, quote prices or close anything. When a question falls outside what it was set up for, or the customer asks for a person, the chat goes to a rep. WhatsApp's Business Messaging Policy expects that route to a human, and we would build it anyway.

Because chats can carry personal data, we keep only the fields your process needs and store them where your data protection obligations under the DPDP Act 2023, or UK GDPR for UK clients, say they should be.

Questions

What if someone does not answer the questions?

The lead is still captured with whatever it has, marked as unqualified, and goes to a rep or onto a follow-up schedule, depending on your rules.

Can we change the questions later?

Yes. Questions and the fields they fill are configuration, not code we rewrite each time.

Does the customer know they are talking to automation?

We recommend saying so in the first message. It sets expectations and makes the handover to a person feel natural.
