A pre-approved WhatsApp message, the only way a business can start or restart a chat.
A template is registered with Meta in advance, with placeholders your software fills. Outside the 24-hour window, only approved templates can be sent.
On the WhatsApp Business API, a message template is a message format you register with Meta in advance. It has a body with numbered placeholders such as {{1}} and {{2}}, and can add a header (text, image, video or document), a footer and buttons.
Templates exist because of the 24-hour rule. A customer service window opens when a customer messages you and lasts 24 hours from their last message. Inside it you can write freely. Outside it, or to someone who has never written to you, you can only send an approved template. Meta's template documentation has the full format.
| Category | Used for | Example |
|---|---|---|
| Utility | Updates about something the customer started: an order, a booking, a payment | Your appointment on {{1}} at {{2}} is confirmed. |
| Marketing | Anything promotional, including offers, launches and re-engagement | Our monsoon service offer is on until {{1}}. |
| Authentication | One-time passcodes for logins and verification | {{1}} is your verification code. |
Meta checks the category when it reviews a template and can change it, for example from utility to marketing if the text promotes something. Pricing differs by category, so the category matters to your bill.

Placeholders out of order, or at the very start or end, are common slips.
Placeholders out of order, or a template that starts or ends with a placeholder, are common technical reasons.
A clinic uses two templates: a utility appointment reminder and a marketing message sent only to opted-in patients. A reply reopens normal chat.
A clinic wants to remind patients the day before an appointment and to win back patients who have not visited in a year. Those are two templates: a utility reminder ("Hi {{1}}, a reminder of your appointment with {{2}} tomorrow at {{3}}. Reply 1 to confirm or 2 to reschedule.") and a marketing re-engagement message sent only to patients who opted in to offers. When a patient replies, the window opens and the front desk, or a bot, can answer normally.
We write and submit templates as part of WhatsApp Business API setup, and our WhatsApp CRM uses them for follow-ups after a lead goes quiet.
Often minutes, sometimes longer when a template is flagged for manual review. Plan launches so templates are approved before the day you need them.
Meta allows limited edits to approved templates, and an edit sends it back for review. For a real change of purpose, create a new template.
Not if they wrote to you within the last 24 hours. Replies inside the customer service window can be normal messages.
